Sending a Peppol invoice as a freelancer

Hopfact builds your invoice as a UBL file and sends it to your client over Peppol: you don't need to know anything about Peppol, and your accounting software gets a copy.

Without Hopfact

A PDF in an email is no longer enough

Since 1 January 2026, Belgian businesses send each other structured e-invoices over the Peppol network. Between two Belgian businesses, a PDF in an email is no longer a valid invoice.

As a freelancer with one or two clients, you don't want to turn that into a project. You want an invoice that goes out, and to know it arrived.

With Hopfact

How Hopfact sends your invoice over Peppol

You switch on Peppol once. Hopfact registers your business with an accredited Peppol provider, for sending only, and you confirm your identity with a short check on your phone.

When you choose "Via Peppol" for an assignment, Hopfact checks right away whether your client can be reached on Peppol. Your Peppol address and your client's follow from the enterprise number, so there is nothing to look up.

When you send, Hopfact builds the invoice as UBL, with the PDF inside, and follows up on delivery. Once it has arrived, the invoice shows "Sent via Peppol" and a copy goes to your accounting software's email address.

Receiving stays in your accounting software

Peppol also requires you to be able to receive invoices. Hopfact only sends, so an existing registration with your accounting software stays untouched. Receiving is set up there.

If your client is not on Peppol, nothing goes out and Hopfact tells you why. You can then download the invoice as PDF and UBL or send it to your accounting software.

Why not just your accounting software?

You can, and Hopfact does not replace your accounting software. But it only starts at the invoice: it doesn't know your days, your timesheet or your client's signature, so you retype everything. Timesheet tools, in turn, stop at the timesheet.

In Hopfact, Peppol is the last step of the same chain: the invoice comes from your days and goes out in one click.

Peppol in Belgium, in short

  • Your Peppol address is 0208 followed by your enterprise number, without BE and without dots.
  • A Peppol invoice is a UBL file following the European standard EN 16931. Hopfact puts the PDF inside, so your client can simply read it too.
  • A Peppol invoice that has been sent cannot be recalled: the only fix is a credit note. That is why an invoice in Hopfact only goes out after your click.
  • Hopfact sends through a provider accredited by the Belgian authority (BOSA).
