Getting your timesheet signed, without the email chase
With Hopfact your client signs your timesheet through a personal link, no account needed, and if it stays quiet, Hopfact sends the reminders itself.
Without Hopfact
A signature that keeps you waiting
You email your timesheet as a PDF to your client and ask them to sign it and send it back. Then you wait. After a few days you send a reminder, then another. When it finally comes back, you forward it to your agency.
If you work through an agency, it usually pays only once it has the signed timesheet. Every day the signature is missing is a day later that you get paid.
With Hopfact
How your client signs
You check your month and press "Sign and send". You sign first, and your client gets an email with a personal link.
The link opens a page on phone or laptop, in your client's language: the timesheet itself, the number of days and hours, and a field for their name. Your client ticks the box to agree and presses "Approve". Anyone who prefers to draw a signature with a finger or mouse can do that too. If something is off, your client rejects it with a reason, and you fix it.
If it stays quiet, Hopfact by default sends a reminder after three working days, and another three working days later. Only when those run out do you get a notification. After signing, you and your client both get the signed PDF.
Through an agency or direct
Through an agency, you sign first, the end client signs, the signed timesheet goes to the agency on its own, and the agency gets the invoice too. That way it has everything it needs to pay.
Invoicing directly? By default nobody co-signs and you send the timesheet unsigned. If your client does want a signature, you switch it on for that assignment.
Why this doesn't happen elsewhere
Belgian invoicing tools don't let your client approve a timesheet. Timesheet tools do collect signatures, but stop there: the invoice is up to you. And agency portals belong to the agency or the client: with every new assignment you start over.
In Hopfact the signature is a step in your month, between your days and your invoice.
Legally valid and verifiable
- A simple electronic signature with an audit trail has evidential value under the European eIDAS regulation (Article 25). Itsme or eID are not needed for a timesheet.
- The audit trail records who opened the link, signed or rejected, and when.
- The signed PDF gets a fingerprint (SHA-256). Through the link at the bottom of the PDF, anyone can check that the file has not been changed since.
- Reminders only go out on Belgian working days, at 9 in the morning.
