Follow-up

The overview shows what is waiting on you and how your year is going. In Invoices you mark what has been paid, and the morning email keeps you up to date.

The overview

#

Overview is your start screen. From top to bottom:

  1. Waiting on you: the five most urgent things that need something from you, each with a button to do it. See all 7 shows you the rest in Invoices.
  2. Four cards: what you invoiced this year, how many days, this quarter's VAT, and what is still Outstanding.
  3. Two charts: Per month and Per year, in euros, days or hours.
  4. November so far: for each running assignment, what you have worked this month, with a link to the month.

Good to know

  • Amounts in the cards and charts are excl. VAT and count by invoice date. Outstanding is incl. VAT and also shows what is overdue.
  • Extra lines do not count towards the days invoiced.
  • A credit note counts as a minus, in the month of its own date, VAT for that quarter included. The credited invoice stays in the month of its own date, as in your VAT return. Its days no longer count.
  • As long as Getting started is there and nothing is waiting on you, you do not see Waiting on you.

Invoices and Waiting on you

#

Invoices shows every month of every assignment on one row: how much you worked, where the timesheet and the invoice stand, the payment and the amount.

  1. At the top, choose what you want to see: All, Waiting on you, Outstanding, Overdue or Paid. If you like, choose one assignment or a year.
  2. In the Next step column, click a row's button. It takes you to the month or the invoice, where you take that step. Only Mark as paid happens right there on the row.

Good to know

  • Waiting on you puts the most urgent at the top: first what did not arrive, then what needs invoicing or sending, then what is overdue, then what needs reviewing or signing.
  • All and Paid show one year. The other filters show all years.
  • Each month appears once at the top, with its assignments below it. Only Waiting on you names the month on every row, because that list is ordered by urgency.
  • Below a month with a credit note, the credited invoice and the credit note each get a line of their own, the credit note as a minus. Outstanding and Overdue never count a credited invoice.
  • Below some buttons is a small link, such as Sent outside Hopfact or Invoiced outside Hopfact. See Sent yourself or invoiced outside Hopfact.

Marking as paid

#

Hopfact does not look into your bank account. When a payment comes in, you mark the invoice yourself.

  1. Click Mark as paid, on the invoice or in Invoices.
  2. Under Paid on, choose the day the money arrived. By default that is today.
  3. Confirm. The payment becomes Paid.

Good to know

  • An invoice is Overdue from the day after its due date. It then also appears in Waiting on you.
  • The payment date lies between the invoice date and today.
  • Made a mistake? Undo the mark on the invoice sets it back to open.

The morning email and notifications

#

Every morning at 8, Hopfact checks what you need to know. If there is anything, you get one email with everything together, and a notification per item in the app.

You hear from Hopfact:

  • on the first working day of the month: your days from last month, with the question whether they are right;
  • on the 10th: an invoice that has not gone out yet, because the legal deadline is the 15th;
  • 30 and 7 days before an assignment ends;
  • when an invoice is overdue.

The notifications are under the bell in the menu. A click opens what they are about; Mark all read clears the bell.

Good to know

  • You hear about each case once.
  • The email goes to your organisation's contact address. It cannot be turned off.
  • A month you invoiced outside Hopfact is left out.

Filling in previous years

#

If you were already freelancing before Hopfact, you can enter your figures from back then. That way you can compare them in the charts.

  1. On the overview, below the charts, click Enter figures from before Hopfact.
  2. For each year, enter the Revenue excl. VAT (€), and if you like the Days. Hopfact works out the Hours: your days times the Hours per working day of your assignments, or times 8 if you have no assignment yet or they differ.
  3. For the months of this year before your first invoice in Hopfact, Hopfact also works out the VAT (€): 21% of the revenue. Under the small business exemption, that field stays empty.

Good to know

  • You can go back up to five years.
  • What you enter shows hatched in the charts and counts in the cards, except in Outstanding.
  • If a year has since got invoices in Hopfact, those count, not what you entered.
  • If a month you entered here is still waiting to be invoiced in Hopfact, mark it as Invoiced outside Hopfact (see Sent yourself or invoiced outside Hopfact). It then asks nothing more, and the figures you entered keep counting.
  • What Hopfact worked out shows in light blue. If it was different, just type over it: what you typed yourself stays. Empty such a field and Hopfact works it out again.
  • Empty a row to delete it.

Giving feedback

#

Is something going wrong, or missing? Tell us.

  1. In the menu, click Feedback. You can do this on any page.
  2. Write what works, what goes wrong or what you are missing.
  3. Click Send.

Good to know

  • We read everything and reply to the email address you sign in with.
  • We also receive which page you were on. So you do not need to explain where you were.
  • A message is at most 4,000 characters long.

Deleting your account

#
  1. Go to Settings › Organisation, right at the bottom, to Delete account.
  2. Click Delete account and confirm with Yes, delete my account.
  3. Every page now shows the day your account disappears. Download what you want to keep before that day.

If you change your mind, click Keep account.

Good to know

  • You have thirty days to change your mind. Just signing in does not stop the deletion.
  • The whole organisation disappears: clients, assignments, months, invoices and every member's sign-in.
  • We do keep issued invoices and sent timesheets for ten years, because the law requires it. Anyone holding a signed timesheet of yours can still check it at hopfact.be/verify.
