Time tracking
With time tracking you start and stop a timer, or enter blocks of time. Hopfact adds them up per day and puts them in your assignment's calendar.
Turning on time tracking
#Time tracking is a second way to enter your hours: with a timer or with blocks of time, instead of per day in the calendar.
- Go to Settings › Organisation, to the Time tracking card.
- Tick Use time tracking.
- The timer bar appears at the top of every page, and Time appears in the menu.
For each assignment, under Input, you choose between Calendar (working days pre-filled) and Time tracking (timer and blocks).
Good to know
- Turning it on does not change your existing assignments. New assignments do start with the timer.
- An assignment that runs per day shows in the timer bar with "(per day)" after its name. If you start the timer for it, Hopfact asks whether it may switch.
- If you turn time tracking off, your assignments with the timer go per day from today. You cannot do that while a timer is running.
The timer
#The timer bar is on every page: at the top on a computer, at the bottom on a phone.
- In What are you working on?, type a short description.
- If you have more than one assignment, choose one. Hopfact suggests the one from your last block.
- Click Start or press Enter. The clock starts running.
- Click Stop when you are done. The bar says how much time was saved, with an Adjust link.
On the right of the bar is how much time you have already saved today.
Good to know
- You have one timer at a time.
- You can change the description while the timer runs. You change the assignment of a running timer on the Time page.
- If a timer runs past midnight, it becomes one block per day.
- You cannot start a timer in a month that is out for signature or invoiced.
Editing blocks
#The Time page shows your blocks by week, from Monday to Sunday. That is also where you enter time without the timer.
- Choose the week with Previous week, This week and Next week.
- Click + Block on a day, or click an existing block to change it.
- Fill in From and To, and a Description if you like. With more than one assignment, you also choose the Assignment.
- Click Save.
Good to know
- A block lies within one day and not in the future. It may not overlap another block, not even one for another assignment.
- To delete a block, click it, then click Delete.
- You cannot delete a running timer. Click it and choose Stop at instead.
- In a month that is out for signature, the blocks are locked. Correct the month on the month page first.
- In an invoiced month, the blocks show Invoiced. Correct takes you to the invoice screen: credit the invoice and reopen the month, and the blocks unlock. See Correcting after finalising.
From blocks to the calendar
#Hopfact adds up your blocks per day and per assignment, and puts that total in the assignment's calendar. You invoice from there as always.
- A day's total is rounded once, to a hundredth of an hour: 8 h 07 becomes 8.12 hours.
- Together, the descriptions of the blocks become that day's note.
- A running timer counts as soon as it stops.
In the calendar of such a month, the hours show with two decimals, without fields. Clicking the date takes you to that day on Time.
Good to know
- Below each day on Time, it says per assignment how many hours go into the calendar.
- "Does not count" appears next to a block outside the assignment's dates, in a month that works with the calendar, or from before the day the assignment switched.
- As long as a timer is running in the month, you cannot send the timesheet or invoice. Stop it first.
- On the invoice, the usual rule then applies: see Rounding to half days.
Switching between calendar and timer
#You switch an assignment between calendar and timer under Input, or from the timer bar with Switch and start. Before you save, Hopfact says below the field what will happen.
The rule is: the switch counts from today.
- The days before today stay as they are.
- The days from today come from the new input. Whatever was there is cleared.
- Later months that are already open but have not gone out yet start over.
- Past months never change.
Good to know
- If this month's timesheet has already gone to your client, or been invoiced, the switch counts from next month.
- From timer to calendar: the days from today are pre-filled again, if that is on. Your blocks from today stay on Time, but no longer count.
- You cannot switch to the calendar while the timer is running for that assignment.
A forgotten timer
#If your timer runs for more than 10 hours, a red notice appears below the timer bar, on every page.
- Click Adjust and, under Stop at, choose the time you actually stopped.
- Or click Stop to stop now.
Good to know
- Hopfact never stops a timer by itself. You get one notification in the app and one email.
- With Adjust, you choose a time on the day the timer started. If it really ran on for longer, stop it now and adjust the block on Time.
